ABOUT THE ROLE
The Reporting Officer is responsible for ensuring transparent, accurate, and timely reporting of donor funds, supporting the organization’s commitment to accountability and compliance with donor requirements. The Reporting Officer will work closely with the program manager, finance director and team, and internal and external monitoring & evaluation (M&E) teams to collect, analyze, and present financial and programmatic data for both internal stakeholders and external donors. This role will require strong analytical, communication, and organizational skills to ensure that donor expectations are met and that funds are effectively managed and reported.
RESPONSIBILITIES
Donor Reporting and Compliance
Prepare regular and ad-hoc reports for donors, ensuring accuracy, transparency, and timeliness.
Ensure compliance with all donor requirements, guidelines, and templates.
Collaborate with finance, program, and M&E teams to compile, review, and validate data required for reports.
Identify opportunities to enhance current reporting processes for greater efficiency and automation.
Data Collection and Analysis
Establish a robust, standardized template to enable all departments to independently gather and report necessary data for donor reporting, promoting efficiency and consistency across the organization.
Gather financial and programmatic data from relevant departments to support comprehensive reporting in a timely manner.
Perform accuracy checks on incoming data to ensure that only correct and reliable information is reported.
Analyze data to ensure consistency and alignment with project objectives, budgets, and donor expectations.
Proactively analyze data to verify consistency and alignment with project objectives, budgets, and donor expectations, while also generating insights for strategic reporting and informed decision-making.
Identify trends, discrepancies, and areas for improvement, offering insights to relevant teams.
Financial Monitoring
Track expenditures against donor budgets, identifying any variances and coordinating with finance for corrective actions.
Prepare financial summaries and breakdowns for inclusion in donor reports.
Internal Coordination and Capacity Building
Coordinate with program and finance teams to develop reporting tools and templates that align with donor requirements.
Provide training and guidance to project staff on donor reporting requirements and best practices.
Documentation and Record Keeping
Maintain accurate records of all reports, data, and communications with donors for auditing and reference purposes.
Ensure that all reporting documents are archived systematically and accessible for internal and external audits.
Donor Communication and Liaison
Act as a point of contact for donors on reporting-related matters, addressing any queries or requests for information.
Participate in meetings with donors, when necessary, to discuss report findings, clarify information, and gather feedback.
Office and Administration
Provide general office administration support including but not limited to coordination of office activities, team events and meetings, correspondence and travel.
Management and maintenance of company data.
Source and set-up of suppliers for procurement to ensure efficiency and compliance to company policies.
Perform any other duties as assigned by management.
BACKGROUND & EXPERIENCE
Bachelor’s degree in Finance, Accounting, International Development, Business Administration, or related field.
3+ years of experience in a similar role, ideally within an NGO or international development organization.
Strong proficiency in data analysis and financial reporting.
Excellent written and verbal communication skills.
Advanced skills in Microsoft Office Suite (particularly Excel)..
Familiarity with donor reporting requirements and financial management for NGOs.
Familiarity with key donor reporting frameworks (e.g., USAID, DFID, EU, UN agencies).
Experience with financial management software (e.g., QuickBooks, SAP, etc.) and data visualization tools.

Working Hours as a Global Citizen at PBP!
We’re a global company with team members in Canada, Kenya, India, the USA, Türkiye, Mexico, UK, South Africa, and Colombia. You will be working with teams across multiple time zones so we expect you to work within your standard time zone working hours, but be available from time to time for team meetings that may fall outside of your regular working hours.
